1.0 POSITION OVERVIEW

The Concierge desk is the hub of information at Camellia Residences. The Concierge is responsible for greeting visitors, fulfilling resident/family requests, arranging tours of the property, answering a multi-line telephone, and providing clerical support to the leadership steam, in accordance with company’s mission, vision, and values.

2.0 PRIMARY RESPONSIBILITIES

  • Presents an approachable and professional image in personal appearance, manner, and demeanour at all times.
  • Screens all visitors according to the regulation and guidelines, this may include checking vaccine records, photo ID, filling in logbook, temperature check, etc.
  • Answers all incoming calls to the residences, screens, and transfers to the appropriate individuals within 3 rings.
  • Answers, screens and transfers leasing and sales-related phone calls within 3 rings according to the guideline. Collects the caller’s name, phone number, email, and purpose of the call.
  • Acknowledges and greets all residents and guests with utmost courtesy and urgency.
  • Receives or directs all deliveries. Assists with delivering packages to resident suites. Sorts and distributes incoming and outgoing mail.
  • Assists with distributing flyers and other mail items as needed.
  • Handles daily tenant requests and inquiries, directs such inquiries to the right team leader.
  • Performs various typing/computer and filing duties, including responding to emails, preparing correspondence, move-in forms, tenant records, and personal documents.
  • Maintains communication log daily, with information that is relevant to the operation of the business and the activities of the residents.
  • Coordinates move in and out activities including elevator lock off and key distribution.
  • Assists with familiarizing new residents with the building, foodservice and activities. Manages key controls.
  • Assists in the maintenance of the following records: residents lists, residents service accounts, resident’s files, other records as determined.
  • Maintains individual resident accounts, and processes residents’ invoices. Responsible for maintaining various accounts for guest and staff meals.
  • Maintains office supplies by performing monthly inventory check, purchasing, ordering, and receiving supplies.
  • In coordination with the team leader ensures that events such as movies, cards etc. are organized, equipment available, and set up for residents before the event begins.
  • Coordinates meal census, tray service requests, maintenance and housekeeping work orders, key distribution and other related activities.
  • Types and distributes minutes of leadership and team member committee meetings, such as Occupational Health and Safety, Resident Council and team member meetings, as requested.
  • Familiarity with fire and emergency procedures and ability to act as the Fire Warden when situations dictate. Responds to health, fire, resident, maintenance or other emergencies in accordance with policy and procedures.
  • Reports any concerns regarding the health or well-being of the resident and maintenance. Completes Incident Reports and manages resident interactions with grace, tact and confidentiality.
  • Ensures common areas on the main floor are always neat and tidy. Clean and sanitize all surfaces as per guideline.
  • Ensures resident rights of privacy and confidentiality are maintained, except in the proper operation of the business.
  • Maintains a current knowledge of and complies with all facility policies and procedures.
  • Other related duties as assigned.

4.0 QUALIFICATIONS

  • At least one year of previous experience working in a similar position, for a hotel, retirement community, or other professional organization as a Concierge.
  • Minimum Grade 12 education or equivalent.
  • Minimum of one (1) year of recent office experience, preferably in a receptionist role.
  • Demonstrated computer skills and able to operate Microsoft Office Suites.
  • Bilingual is an asset; (Chinese or Mandarin).
  • Level 1 First Aid Course preferred.

5.0 SCHEDULE

Must be able to work on Friday and Saturday, 07:00 am to 03:00 pm.

Salary: $20.00 per hour

Schedule:

  • 8 hour shift

COVID-19 considerations:
Camellia Residences required every candidate to be fully vaccinated and able to present vaccination proof. An exemption will be considered on a case-by-case basis.

  • Secondary School (preferred)

Experience:

  • concierge: 1 year (preferred)
  • receptionist: 1 year (preferred)
  • Senior Living: 1 year (preferred)
