We are looking for an experienced Admissions Coordinator to join our Morven campus. This Permanent, Full-time position plays a key role supporting families as they navigate the online enrolment process and providing support to all members of the department with full-cycle admissions.

What you will be doing:

  • Provides support across our two campuses related to JK-Grade 12 enrolment
  • Responds to initial phone and email inquiries from external applicants and their families
  • Schedules campus tours, sends e-reminders to families, and assists with required follow-up
  • Assists with the planning and execution of a range of enrolment events; New Student Day, New Parent Receptions, Open Houses, and all assessment & interview sessions (in person or virtual) and occasional evening and/or Saturday work is required
  • Ensures accuracy of admitted students’ files and compliance with BC Ministry of Education requirements
  • Works closely with the two campus Data Services and Student Records Coordinators as well as the Registrar
  • Assists with the Student and Parent Enrolment Ambassador programs
  • Organizes and maintains supply of print materials provided to inquiring families
  • Maintains statistics related to admission and re-enrolment
  • Organizes materials, food and beverage as required for events, meetings and training sessions
  • Assists and maintains an ongoing inventory of promotional items within the Enrolment Office and the replenishing of these materials
  • Maintains the Enrolment Team calendar of events
  • Keeps apprised of activities and events, JK-Grade 12
  • Coordinates and liaises effectively with colleagues in other departments including Events, Maintenance, and external vendors
  • Attends Department meetings, retreats and school-wide meetings

What you need:

  • A combination of post-secondary education and a minimum of two years’ administrative support experience in a collaborative office setting in admissions, education, business, project management, PR, communications or another related field
  • Experience working in an Independent School, University or customer service position
  • Proficiency in Mandarin is a requirement
  • Basic knowledge of a K-12 curriculum, Advanced Placement (AP) or other educational curriculums
  • Proven ability to thrive in a fast-paced, deadline-driven, highly productive environment
  • Able to work independently as well as collaboratively with colleagues
  • Proficient written and verbal English skills
  • Ability to respond appropriately and in a timely manner to email, phone and in-person inquiries
  • Great attention to detail, self-motivation, self-regulation and flexibility
  • Ability to prioritize and to work on multiple projects concurrently and deliver exceptional results
  • Proficiency in Microsoft Office Suite as well as strong database skills. Able to work on a MAC platform
  • Discretion regarding the handling of sensitive and confidential information pertaining to student, parent and applicant communications and permanent records
  • Ability to identify, address and resolve issues as they occur
  • Exceptional interpersonal skills with a passion for meeting new people and a desire to learn new skills
  • Ability to build and maintain relationships across the entire School community
  • Confidence to engage collaboratively and proactively with teaching faculty and staff
  • A positive, confident, can-do attitude along with a sense of humour
  • Physically able to sit at a desk and use a computer for extended periods of time
  • Required to have a valid driver’s license and daily access to a personal vehicle
  • Canadian residency and legally entitled to work in Canada
