We are seeking an experienced Executive Assistant to provide high-level administrative support to our managing officer. The successful candidate will possess strong organizational and communication skills. This position requires a high degree of professionalism, confidentiality, and flexibility.
Responsibilities:
- Manage the officer’s calendar, schedule appointments, and coordinate meetings and events
- Attend meetings and take accurate and detailed notes of discussions, decisions, and action items
- Make travel arrangements, including flights, hotels, and ground transportation
- Prepare and edit correspondence, reports, and presentations
- Conduct research and prepare materials for meetings and presentations
- Handle sensitive and confidential information with discretion and tact
- Maintain office files and records, and ensure that office operations run smoothly
- Provide consecutive interpretation services between Japanese and English/Chinese speakers during meetings, presentations, and other business-related events
- Assist with the officer’s personal tasks and projects as needed
- Assist with the officer’s business tasks, such as sourcing, negotiating, business developing, client relationship
Requirements:
- Bachelor’s degree preferred, but not required
- Minimum of 5 years of experience as an Executive Assistant or similar role
- Fluent in English, Japanese, Chinese (spoken and written)
- Excellent organizational and time management skills
- Strong attention to detail and ability to multitask
- Strong written and verbal communication skills
- Ability to work independently and proactively, with a high degree of professionalism and confidentiality
- Proficient in Microsoft Office (Word, Excel, PowerPoint, Outlook)
- Basic knowledge of accounting, fluent in QBO
- Class Five Driving License
