Richmond Primary Care Network: Medical Office Assistant
Opportunity
The Richmond Primary Care Network (PCN) program is a joint venture led by the Richmond Division of Family Practice and Vancouver Coastal Health-Richmond, supported through funding from the BC Ministry of Health. The PCN Medical Office Assistant is a full-time position, with a schedule that will involve work in the Richmond office, throughout Richmond and occasionally at times that include early mornings and evenings for pre-scheduled clinics. The office is closely located to Skytrain and travel within Richmond can be handled by use of transit.
The PCN team is being newly developed and this role is best suited to individuals interested in developing the position to its full potential and excited by the opportunities that building a new position with a new team brings. The PCN MOA must be able work collaboratively with a range of range of health professionals and communicate respectfully with culturally diverse patients. As the PCN Medical Office Assistant, you will pay a vital role in ensuring the PCN initiative meets its goals to provide accessible, high quality care to Richmond residents. Please note this position requires M-F in person attendance in our Richmond, BC office. Residency in the lower mainland is required and the position cannot be delivered from a home office.
Job Tasks:
· Collects the necessary information to create meeting packages;
· Prepares professional and accurate meeting packages;
· Sends invitations to the necessary recipients;
· Secures appropriate meeting spaces;
· Records minutes for meetings and distributes;
· When on-site receives, greets and directs clients, health professionals and visitors and responds to general inquiries in a positive manner;
· Monitors patient waiting area, directs patients accordingly, takes patients into exam rooms, etc.
· Coordinates health professional’s schedules with MOA and primary care providers;
· Processes incoming referrals and populates/updates/validates patient booking into calendars;
· Books new and follow-up appointments, provides confirmation calls to patients as required;
· Oversees calendars and document hubs;
· Faxes outgoing consult letters and appointment notifications to referring primary care providers;
· Uses various software programs including PARIS, Care Connect and Pathways;
· Supports attachment efforts for unattached patients via online web registry and list of primary care providers accepting patients;
· Receives, sorts, and directs incoming packages, mail, and faxes;
· Enters statistical data for collection of key performance measures for organizational and provincial reporting;
· Provides administrative support to PCN leadership;
· Ensures PCN office is stocked with stationery and general office supplies;
· Participates in team meetings, contributes to role development and ongoing quality improvement efforts;
Job Requirements/Qualifications:
· Minimum of 2+ years’ experience in an administrative role in a healthcare setting
· Minimum of 2+ years experience with a healthcare Electronic Medical Record (EMR) system, Microsoft Office including Excel, email
· Diploma/Certificate in Administration or Medical Office Assistant required
· Mandarin and/or Cantonese speaking a strong asset
· Effective and clear communication skills (written and oral)
· Ability to multitask and prioritize with a high level of organization
· Ability to manage a great quantity of tasks and ensure follow-up and completion
· Strong attention to detail
· Works well as part of a team but maintains focus and initiative to work independently;
· Availability to attend and participate in clinics/events/meetings located in Richmond, at times that occasionally include early morning, 0730 start, or that end at 20:30.
Job Details:
· This position will be based in person, at our Richmond office located near the Skytrain
· Some travel is required, mostly within Richmond
· Full/Time, Permanent position (37.5 hours per week)
· Extended health benefits and a strong benefits package including RRSP matching is offered following a ninety-day trial period
· Salary range $50,000 to $53,000 per annum
