Position overview:
The team is looking for a self-motivated, detail-orientated individual with a strong initiative to take on a wide variety of tasks. As an Administrative Assistant, you will provide support to the executive, accounting department and marketing team. The position is supposed to play pivotal role as the primary point of contact for administrative and support matters. Excellent written and oral communication skills are required to coordinate at all levels. In terms of project coordination, you will be coordinating with a variety of vendors to ensure the jobs are accomplished on time and on budget. The ideal candidate will mitigate risk by anticipating various scenarios throughout the course of a project and build actionable plans accordingly. You will monitor the progression of projects and report to the supervisor.
Receptionist duties*
Professionally greet clients and notify colleagues
Distribute in-coming mail & couriers
Maintain lobby and boardrooms cleanliness
Prepare outgoing couriers
Sort & process out-going mail
Review executive’s calendar
Manage & organize supplies for the coffee room
Help other staff as required e.g. stuffing envelopes, sorting/filing statements into binders, assembling folders & mailouts
Administrative duties*
Help coordinate meetings and schedules.
Organize, file and maintain project documents.
Execute daily administrative tasks.
Assist company directors with varied tasks and errands.
Track & reconcile invoices
Analyze project status in CRM and google analytics
Project coordination duties*
Project coordination in terms of marketing, construction and administration.
Assist company directors to review branding and marketing materials.
Conduct marketing research and analysis.
Follow up with construction schedule and deficiency.
Communicate effectively with vendors and partners.
Track and report project status update.
Familiar with social media and proficient in managing social media
General understanding of real estate development.
Strong marketing research and analytical skills.
Minimum Qualifications*
Bachelor’s degree or diploma.
Basic bookkeeping skill
Proficient with google suite and Adobe Acrobat.
Excellent verbal and written skills in English and Mandarin.
Excellent organizational and administrative skills.
