- We are looking for a highly motivated and organized individual to help facilitate the everyday duties of a real estate agent. This role requires skilled multi-tasking and the ability to wear several hats in order to handle all administrative aspects of a real estate business.*
- Job Responsibilities: *
- To manage all the day-to-day activities: to make the office functional.
- To manage all client inquiries and delegate as required, including the following:
- Answer telephone, text messages to team members
- Take care of client requests
- Manage/ edit client database in Contact Management Software
- Open new files for sellers and buyers
- Prepare listing contracts & data input forms
- Communicates with MLS regarding listing corrections
- Types all correspondence relating to clients
- Maintains and organizes all office filing
- Maintains weekly appointment schedules (Agent’s Open House, Public Open Houses & Building Inspections)
- Prepares ads on a weekly/monthly basis, proofreading and submitting corrections
- Make revisions on website
- Dresses professionally at all times
- Performs personal assistant duties (i.e. managing schedule, reminding when to send notes to people etc.)
- Prepares & co-ordinates Marketing Plan tasks for current year
- Tracks all the statistics for the business (incoming calls, listing rations, turnover rates etc.)
- Maintains & updates newsletter mailing list
- Coordinates client events
- Organizes the office filing system \* Other duties as assigned
- Detail oriented
- Willing to work overtime
- Qualifications: *
- Minimum 2 year working experience in office administration and/or real estate administration
- Strong command of the English language (both written and verbal)
- Ability to multitask
- Excellent organization & time management skills
- Superior customer service skills, including excellent telephone manner
- Good computer skill
- Working knowledge of Word, Excel and PowerPoint, Photoshop, email and internet
