Executive Assistant/Office administrator/administrative assistant position.

Job Description

A real estate firm is looking for a capable individual to fill the Executive Assistant/ Office administrator/administrative assistant position. This job is perfect for someone who enjoys taking on new challenges and multitasking in a fast paced environment. The right candidate must have exceptional problem solving and interpersonal skills .

Job Responsibilities:

– Conduct research, compile and cross check data, and prepare papers for consideration by the executive

– Act as a “gate-keeper” and create win-win solutions for direct access to the executive’s time

– Provide high quality support to the executive

– Perform a variety of clerical tasks

– File documents and prepare correspondence, such as e-mails, faxes, forms, and data entries

– Screen incoming calls and correspondence and respond independently when possible

– Prioritize conflicting needs with tight deadlines, handle matters expeditiously, and follow-through on projects to successful completion

– Schedule and arrange appointments

– Prepare and draft contracts from provided information

– Issue and collect invoices

Job Requirements:

– Exceptional fluency in English

– Bilingual in Chinese (Mandarin or Cantonese)

– bookkeeping knowledge/experience is an asset

– Able to determine the accuracy and reliability of extracted data for corporate reporting

– An understanding of how to leverage a busy executive’s time and willingness to do what it takes to contribute to their success and the success of the company

– Capable of working with discretion and tact in an environment exposed to a high level of confidential information

– Able to prioritize workload independently and work with little to no supervision

– Able to meet deadlines without compromising accuracy and quality

– Foster an honest, responsible, diligent, and positive work attitude

– Minimum of 2 years’ experience in administrative work

– Computer skills and proficiency in Microsoft Office

– Possess valid BC driver’s license and a reliable vehicle
