We are seeking a highly organized and detail-oriented individual to join our team. This role is vital to ensuring the smooth operation of our office and providing essential support to our executives and staff. The ideal candidate will be a proactive problem-solver with excellent communication and organizational skills, capable of handling multiple tasks and responsibilities with professionalism and discretion.
Responsibilities:
Executive Support: Provide comprehensive administrative support to the executive team, including managing calendars, scheduling appointments, and coordinating travel arrangements.
Office Management: Oversee the day-to-day operations of the office, ensuring a clean, well-organized, and efficient working environment.
Correspondence and Communication: Draft, proofread, and edit emails, letters, memos, and other documents. Manage incoming and outgoing correspondence, prioritize tasks, and respond to inquiries promptly.
Meeting Coordination: Schedule and organize meetings, including preparing agendas, coordinating logistics, and recording minutes. Ensure all necessary materials and resources are available for meetings.
Records Management: Maintain accurate records, including confidential files, documents, and databases. Ensure proper filing and organization of both physical and digital records.
Office Supplies and Equipment: Monitor inventory levels and order office supplies and equipment as needed. Coordinate repairs and maintenance for office equipment and facilities.
Vendor Management: Liaise with vendors, suppliers, and service providers to ensure timely delivery of goods and services. Review and negotiate contracts to optimize cost-effectiveness.
Budget Monitoring: Assist in managing office budgets and expenses. Track expenditures, prepare financial reports, and identify opportunities for cost savings.
Team Support: Collaborate with colleagues to provide administrative support as needed. Assist in coordinating office-wide projects, initiatives, and team activities.
Qualifications:
- High school diploma or equivalent (Bachelor’s degree preferred)
- Proven experience as an office assistant
- Exceptional organizational and multitasking abilities
- Strong written and verbal communication skills in both English and Mandarin Chinese
- Proficiency in office software (e.g., Microsoft Office Suite)
- Excellent time management and problem-solving skills
- Ability to handle sensitive and confidential information with discretion
- Strong attention to detail and accuracy
- Professional demeanor and interpersonal skills
- Flexibility and adaptability in a fast-paced environment
Job Type: Full-time
Salary: $18.00-$22.00 per hour
