(“AFD”) is a Canadian-registered manufacturer and trader specialized in the research, design, and development of all types of freeze-dried pet products. We are located in Langley, B.C., with convenient transportation access. Dedicated to creating a healthy lifestyle, AFD advances the Freeze-Dry industry with its unique business model and strong innovation capacity, and are building a global leading the supply chain of freeze-dried products. Currently, our products have spread across North America, and are growing quickly in the pet food market. The main role of this position is sales and administration support. You will be expected to:
· Provide proper communication to all departments within the company to establish a shared vision and ensure the process from beginning to end is seamless.
· Provide clear communication and coordination between sales and production.
· Maintain the company’s reliable reputation by ensuring all orders placed are properly entered into our systems, scheduled for appropriate production dates, and ultimately shipped at the requested time.
Responsibilities*
· Ensure the adequacy of sales-related equipment or materials and relay the information to all other departments to ensure they are aware of the problems.
· Monthly activities regarding sales volumes, sales forecasts, and the sales perspective report.
· Ensure all orders have been properly placed, scheduled, and delivered.
· Analyze monthly/annual sales& purchasing the report.
· A proactive attitude toward the three questions to every step. “What am I doing?” “What should I be doing?” “What am I missing?”
· Ensure all food health and safety measures are being met.
· Store and sort financial and non-financial data in electronic form and present reports.
· Monitor the team’s progress, identify shortcomings, and propose improvements. Review and update action plans for each department’s managers.
· Take an active responsibility in reporting any events or circumstances that may have adverse effects on the managers.
· Vendor sourcing, prequalification. Assist Manager in maintaining vendor lists, product information, and purchase order records. Develop and reach strategies for purchasing ingredients.
· Ability to successfully complete a wide variety of daily administrative purchasing duties (i.e. following up on orders; confirming delivery of PO’s; filing of documents; delivery of receipts; assisting with Munis issues; entry of receipts; resolution of order discrepancies, etc.).
· Ongoing feedback, coaching, evaluating and documentation are maintained for all reports.
· Scheduling sample requests and delivering them in a timely manner, also ensure clients are kept updated.
· Supporting customer care manager by facilitating interdepartmental communications and interactions between internal and external parties.
· Assisting with special projects, such as process improvements and budget development.
· Proactively communicate with customers regarding Account Receivable matters.
· Supporting production by purchasing materials according to requests from the production team.
· Making a purchasing plan to constantly support ongoing production.
· Materials purchasing according to the production need and future sales forecast.
· Sourcing new suppliers and assist the Quality Assurance department to approve potential suppliers.
Qualifications*
· Bachelor’s degree or above in business, commerce, marketing, food science or related field
· 2-3 years of business experience, preferably in a Data Analyst, administrative, assistant, or customer service the role is preferred.
· Strong negotiation and conflict/problem resolution skills.
· Strategic planning systems Development.
· Excellent Interpersonal Communication skills-able to achieve the “End in Mind” functional objectives in an efficient and “can do” manner and altitude.
· Knowledge of Microsoft Excel and Microsoft Word
· Proficiency in Cantonese/Mandarin and English will be considered a strong asset.
