About the Role:
The Media Coordinator is a key figure in the success of our advertising campaigns. In addition to coordinating media placements between our media vendors, the Media Coordinator shall track spending against results, analyze key data points, and propose improvements to client-campaigns on an ongoing basis. Fluent/native English is expected. Business-level Chinese is considered an asset.
The Media Coordinator will report to the Media Manager and will work with Account Managers, Digital Marketing Specialists, internal production department, and project coordinators to deliver exceptional results and service to our clients. This includes, but is not limited to sending and managing Insertion/Purchase orders, updating, editing, and maintaining media deadlines in collaboration with our internal team and network of partners (our media vendors).
This role gives the successful candidate a 360º view of a campaign, project, and operations of one of Vancouver’s fastest-growing agencies; a highly visible position with room for growth.
*Responsibilities:
Create, send, and manage Purchase Orders sent to Vendors. The expectation is to coordinate correct invoicing details with vendors to be submitted to accounts payable
Assess the success of media advertising plans and campaigns according to client requirements
Problem-solving for unsatisfied clients, unsuccessful campaigns, and supporting the Accounts team in keeping clients informed and happy with their Media
Keep and regularly update an organized list of available inventory including ad-specifications (sizes, formats file types required), into an accessible format
Updating our internal database, and team on any new or adjusted media inventory
Analyze results for past spend to understand optimized avenues/channels; implement these findings within new/updated plans to obtain the best results for the client campaign
Compile client-facing media reports with quantitative results and qualitative analysis
Compare and negotiate rates, ad space, and airtime
Optimize plans and budgets according to the best media mix
Prepare schedules and adjust when needed
Work on several projects simultaneously, often for several different clients
Coordination dates, times, schedules to productions team
Updating internal files and tracking documents
The Ideal Candidate:
Superior personal organizational skills
Strong understanding of the current, local media landscape locally and domestically (English & Chinese)
Superior attention to detail. We handle millions of dollars and spreadsheet errors are unacceptable
Intermediate – expert level proficiency with MS Excel/Google Sheets
Basic knowledge of MS PPT/Google Slides, MS Word/Google Docs
Coachable, responsive, and demonstrated history of professional responsibility
Ability to manage multiple tasks simultaneously, with minimal supervision
Ability to collaborate with multiple colleagues, and manage expectations across different levels of the organization
History of building productive relationships with external stakeholders (media partners)
Minimum 2 years of Media Coordinating Experience
Post-secondary education in Media, Marketing, or Business Administration
Knowledge of the local real estate market is an asset
Is “manager of one” – type who doesn’t need daily check-ins to create and achieve goals
Familiar with all types of media buying including broadcast, print, OOH, and digital
Expert at targeted communications and advertising campaigns across various media platforms
Deep understanding of targeting audiences, traffic metrics, and media best practices
Knowledgeable of the media in Canada
Demonstrable experience with building/booking effective media campaigns
Ability to work under pressure and meet deadlines
Ability to work independently and as part of a team
Flourishes in a team environment with the ability to follow directions, stay organized, meet deadlines and manage your own schedule
Ability to solve problems and remain positive in difficult situations
