Responsibilities
- To look after the complete office work, reviewing emails and forwarding it to the appropriate departments / concerned persons.
- Schedule and confirm appointments and meetings (using Google Suite, Zoom, Teams, etc.).
- Answer telephone inquiries, greet and assist clients with high standards of customer service.
- Ensure smooth operation of office equipment (internet, phone, printer, projectors, stationery, etc.).
- Collect documents from our business partners and maintain files and records with effective filing systems.
- Help with application forms & related paperwork.
- Establish work priorities as per preference and ensure deadlines are met in a timely manner.
- Consult with suppliers and vendors – review quotations, negotiate price, establish delivery options, and contact clients and suppliers to resolve problems.
· Experience in managing social media accounts & website content is an asset.
Qualifications
- Proven experience working in a professional office environment or in a similar role will be a plus.
- Knowledge of basic office management systems and procedures.
- Outstanding knowledge of Microsoft Office, Email, Google Suite, Zoom, and other virtual meeting platforms.
- Working knowledge of office equipment including computers, printers, phones, etc.
- Able to prioritize multiple tasks to ensure records are kept accurately and administrative affairs run smoothly.
- Organized, detail-oriented, reliable with patience and professionalism.
- Associate’s/College degree; BSc/BA in business administration or relevant field is a plus.
- Good problem identifying, solving, and optimization abilities.
- Proficiency in Adobe Creative Suite is an asset.
- Self-starter who can take initiative with the ability to execute many projects in tandem.
- Exceptional time management skills, including the ability to prioritize, manage and meet multiple deadlines.
- Exceptional English communication and presentation skills. (French, Cantonese and/or Mandarin are assets).
