We are seeking a highly motivated and team oriented individual to fill a key position within our team as an office coordinator. This position is responsible for various administrative duties and overseeing different organizational phases to ensure smooth business operations. Daily tasks of the office coordinator are associated with supporting management and staff with respect to administration, troubleshooting, and coordinating and scheduling of activities and programs.
Responsibilities:
• Review, enter, and arrange orders and update in company system
• Communicate and follow up with suppliers and vendors, keep good relationship with suppliers and vendors
• Support site team and administration on all aspects of creating purchase orders and reconciling invoices
• Search new material and contact new suppliers for company business
• Assist in the preparation of maintain inventory and budgetary controls
• Assemble data and prepare periodic and special reports, manuals, and correspondence
• Ensure confidentiality of information and documentation
• Monitor and reply company email
• Reply to general information requests with accurate information
• Proofreading of internal and external communication
• Prepare meeting and company events: agendas, materials, and logistics
• Plan and create events, print collateral, website, signage, e-blasts, print and digital advertising, and other marketing collateral
• Maintenance of websites and social media
• Oversee and co-ordinate office administrative procedures
• Review, evaluate and implement new administrative procedures
• Manage office staff and maintain consistent recruiting practices
• Coordinate orientation process for all new employees
• Performing other relevant duties as required
Requirements
• Minimum of 2 years of experience in an office environment in a similar role
• Post-secondary education in business or office management preferred
• Excellent communication skills, both verbal and written
• Experience managing processes and process improvement
• Strong interpersonal skills
• Customer Service oriented
• Detailed with strong organizational skills
• Considerable initiative, creativity and good judgment are necessary.
• Proficient computer skills
