Program Coordinator, MA LEAD

Position Summary:

The Program Coordinator, MA LEAD plays a pivotal role in the smooth and efficient planning and operations of the program and ensuring students’ positive learning experience. The Coordinator provides bilingual Professional, Personalized and Productive services to all key stakeholders in the MA Lead Mandarin program, including students, faculty, alumni and recruitment partners.

 


Key Areas of Accountability

Administrative Support:

Inquiries and applications:

  • Provide detailed information, follow up enquiries, and send out customized information;
  • Receive applications, enter data into Salesforce and process them with enrolment and admissions.

New enrolments and current students:

  • Register students for courses registration one month in advance
  • Manage student payments (invoicing, collecting tuition payments, and setting up payment plans.
  • Work with the Registrar’s Office to verify tuition and fee charges and reconciliation

Data collection:

  • Track enrolment, graduation and attrition statistics
  • Collect, sort and analyse data for student attribution by conducting formal or non-formal interviews

Marketing: oversee accuracy of the MA Lead Mandarin program website content and Social Media accounts.

Contracts preparation: Assist the Executive Director in preparing part-time faculty hiring contracts, LIP coordinator contracts and advisor contracts.

Finances: Process MA LEAD Mandarin expenses, including reimbursements and disbursements for services, and help faculty purchase teaching materials if needed.

Event coordination:

Orientations: Work with the Executive Director, Academic Operations for new cohort orientation

  • Graduation: Work collaboratively for graduation planning. Arrange planning meetings and follow up with graduation responsibilities to ensure a positive experience for students, their families and the faculty/administration.
  • Student on-campus course: arrange student housing and assist with student travel logistics.
  • Other events: Assist GLOBAL leadership to organize and run events (team meetings, professional development) as required.

Other administrative support: Assist in providing a range of special services to program staff, including typing, copying and filing of documents, locating of needed resources, making travel and lodging arrangements for instructors and program team leaders, arranging meeting schedules, ordering of business cards.

Academic Support

  • Course scheduling: In collaboration with the Program academic leader and Executive Director, Operations, to work out course schedules for each new cohort that maximize students’ learning outcomes and operational efficiency.
  • Online course support: Facilitate technical day-to-day Moodle support in Mandarin for learners and faculty. Conduct course evaluations and related record-keeping.
  • Arrange for course resources: Assist in assessing and locating required resource materials for instructors and students. This activity will involve collaboration with publishers, copyright authorities, the bookstore, and the library.
  • Translation services: Assist in for translation services (curriculum & course resources, course evaluations), providing verbal and written translation as required.

  • Excellent interpersonal and intercultural communication skills, including written and verbal fluency in English and Mandarin;
  • Respectful and effective interactions with people of diverse cultural backgrounds and whose native language is not English, including students, TWU employees, and the broader community;
  • Effective presentation skills to small and large groups, in formal and informal settings, and flexibility in adapting speaking and presentation styles to people of various backgrounds and cultures;
  • The ability to develop, establish and maintain good working relationships and work effectively as part of the MA Lead Operations Team and the wider campus community;
  • Strong attention to detail, ensuring the accuracy of information;
  • Advanced analytical and problem solving skills;
  • Decision-making skills that exercise good judgment, objectivity, and thoughtfulness and maintain a high degree of confidentiality;
  • Ability to work independently with a minimum of direct supervision, as well as establish priorities and achieve deadlines;
  • Skills with Microsoft applicants such as: Word, Excel and PowerPoint, Outlook Calendar, Email, Zoom, Social media (Wechat, Whatsapp, Twitter, Linkedin etc);

Standards & Requirements

Education:

  • BA required. Preference will be given to candidates with a Master’s degree.

Experiences:

  • 3-5 years of sales/administrative experience is required.
  • Post-secondary institutional experience is preferred.
  • Cross-cultural experience working with clients of limited English proficiency.
