Full Job Description
We are seeking a full-time entry-level receptionist/administrative assistant to join our notary public office in the Burnaby Metrotown area. Our office is easily accessible by car or public transit.
QUALIFICATIONS AND REQUIREMENTS:
- Experience working in an office setting
- Experience working as a receptionist/administrative assistant in a law office/notary office specializing in real estate transactions is an asset
- Excellent English writing skills and ability to speak fluent English
- Ability to speak Mandarin or Cantonese is an asset
- Proficient with Microsoft Office, Outlook, Adobe
- Ability to work with minimal supervision
- Ability to multi-task and work under time-sensitive environments
- Exceptional organization, communication and customer service skills
JOB DESCRIPTION:
- Correspond with clients, notary/law offices, banks and other offices via email and phone to schedule appointments, follow-up on file matters and document requests
- Handling phone-call and email inquiries
- Greeting clients
- Performing general administrative responsibilities including banking errands, handling incoming and outgoing mail correspondence, printing and preparing documents for signing appointments, scanning documents, updating office system records
- Data entry using software applications
