Canda Six Fortune Enterprise Co. Ltd. is one of the leading importers and distributors of Asian food products from the Pacific Rim and other regions of the world. We are currently expanding to include Receptionist & Administrative Assistant (PT) in our Administration Department.
Position Summary:
The Receptionist & Administrative Assistant (PT) Report to the Senior Manager, Talent, Resources & Risk Management, the ideal candidate will do basic cleaning, greet visitors and operate a switchboard phone; provide clerical and administrative support to the Department and the Accounting Team; organize meetings and events; and participate in the Joint Health and Safety Committee.
Job Responsibilities:
- Do basic cleaning in the lunchroom and upstairs pantry and refill suppliers, e.g., paper towels and coffee.
- Greet and log visitors and direct them to the appropriate contacts; issue visitor passes when needed.
- Operate a simple telephone system to answer, screen and forward telephone calls.
- Take messages and provide information by phone and in person.
- Receive courier packages and incoming mails, update mail and courier logs and pass the packages and mails to the appropriate receivers.
- Prepare outgoing letters and update postage record.
- Arrange courier services.
- Execute tele transfer.
- Book travel arrangement.
- Order and maintain office supplies, and purchase supplies for company use when necessary.
- Maintain tidiness of the stationery room.
- Set up and maintain manual and computerized information filing systems.
- Organize company events and meetings, manage distribution of information, and keep track of records such as taking meeting minutes taking and tracking and keeping event circulars.
- Perform clerical support and administration duties.
- Other duties as assigned.
Requirements / Must-Haves:
- Post-secondary or related training.
- One to two years of experience in receptionist and basic switchboard operation preferred.
- Punctual and able to meet deadlines.
- Strong customer service skills.
- Well-developed communication, multi-tasking, time management, interpersonal and organizational skills.
- Detail oriented, reliable, responsible, and be able to follow directions.
- Quick keyboarding skills and knowledge of office software.
- Courteous and have an interest in working both independently and as part of a team in an office setting.
Assets / Nice-to-Haves:
- Fluent Cantonese and/or Mandarin and/or French will be an asset.
- Hands on experience in Microsoft Office, e.g., MS Forms, and Acrobat Forms Creator.
