Frog Hollow Neighbourhood House is seeking an energetic and detail-orientated individual to join our team as our Receptionist and Office/Childcare Admin support at our main location of 2131 Renfrew Street. We are a non-profit organization that operates five childcare programs in different locations.
The right person for this position will assist with reception and information and referral duties, as well as to provide clerical support, inventory and database application. Will also provide support to the Childcare Admin and will be responsible for the effective development, and implementation of a variety of childcare related administrative activities
The Receptionist and Office/Childcare Admin support duties and responsibilities will be:
Front desk duties will include:
· Answering the phone and forwarding calls to other staff
· Good telephone etiquette, communication and reception skills
· Providing information on local community and Lower Mainland
· Welcoming people as they come in into the Neighbourhood House.
· Keeping the front desk area tidy
· Keeping bulletin board and job posting board up to date
· Making coffee as needed and ensure that all supplies for coffee are available
· Helping with translating program and services information to Chinese
· Clerical duties, involving data entry, Invoices, and membership data base
· Performing other office/ front desk duties as required
Childcare administration duties will include:
· Assisting with human resources functions including supporting with hiring and personnel procedures such as job postings and childcare licensing requirements ex: employee reference checks, and putting together personnel files, and ensuring files are maintained and up to date including licenses, certification, updated personal information
· Updating policy manuals and information for staff and parents
· Assisting with childcare waitlist monitoring and registration paperwork
· CCOF and Fee Reductions tasks.
· This position will include other duties as required.
Skills & Qualifications
- Previous experience in reception required
- Successful Criminal Record Search
- Good social media, communication skills and high level of English, written and verbal
- Must speak and write Cantonese – ability in Mandarin is an asset
- Strong typing skills with accuracy both in English and Chinese
- Microsoft Word, Excel, Outlook, Sumac, and Chinese Word
- Attention to detail and great customer service skills
- Friendly, personable, reliable and punctual
- Creativity, initiative, flexibility/ability to work with/adapt in a changing environment and a sense of humor
- Ability to work as a team and independently
- Able to work under pressure in a busy environment
- Working experience in a multicultural setting preferred
- Tactful, with good interpersonal skills
- Experience with social media, and other tech related needs, incl. setting up emails and passwords
- Demonstrated ability to comply with policies and procedures regarding privacy, confidentiality, record-keeping and reporting
Job Types: Full-time, Casual, Permanent
