What you’ll do
Reporting to the Manager, Human Resources, the Scheduling Team lead is responsible for guiding the scheduling team in ensuring that all scheduling vacancies are filled by qualified staff, using approved protocols and processes.
DUTIES AND RESPONSIBILITIES:
Area of Responsibility: Scheduling Team Coordination
- Oversees all scheduling functions and provides leadership to designated scheduling staff.
- Trains, coordinates, assigns, and reviews the work of assigned team members.
- Ensures that staff rotation is prepared and adjusted according to applicable collective agreements;
- identifies staff shortages and notifies unit(s)/department(s) accordingly.
- Ensures that arrangements for relief staff are made according to notifications from staff and based on necessary calculations, such as patient-staff ratios and availability of existing staff as per established procedures.
- Answer complex inquiries related to scheduling & timekeeping issues.
- Ensures that appropriate managers are notified of vacancies not filled and/or any difficulties/inaccuracies.
- Reviews the weekly schedule/ rotation for posting requirements.
- Coordinates the line and rotation assignments and plots orientation shifts for new employees and tracks and backfills vacant positions until filled.
- Liaises with Managers or designates regarding issues such as staffing requirements.
- Liaises with Human Resources Manager regarding present & future staff scheduling & timekeeping needs, in order to anticipate any changes.

- Strong organizational skills and proven ability to multi-task.
- Keen attention to details to examine documents for accuracy and completeness.
- Effective interpersonal and team leadership skills.
- Flexibility, initiative, judgement, reliability.
- Ability to communicate effectively both orally and in writing.
- Strong inter-personal and customer service skills.
- Proficiency with the Microsoft Office Suite (Excel, Word, Outlook).
- Ability to speak Cantonese / Mandarin is an asset.

- The hours of work, including weekends and days off, are subject to change as per operational requirements.

As per the current Public Health Orders, all employees working in long term care and seniors assisted living facilities are required to be fully vaccinated for COVID-19. Proof of vaccination status will be required.

- Administrative experience: 1 year (preferred)
